Job Summary: Our mental health clinic is seeking an experienced Office Manager and Scheduling Specialist to join our team.

We need this person to love both details and humans. This role is at the heart of our organization. This person knows how most things work in our system.
The ideal candidate will be mature, care deeply about their work, and be dedicated to being helpful to both patients and our clinical team. As the Office Manager and Scheduling Specialist, you will be responsible for overseeing the daily operations of the clinic (this means a lot of details) and managing patient schedules. The reason that there are two roles is because each alone is limited to about 10 hours a week, so that both combined bring the average weekly hours to about 20. Could be a bit more if you'd like or a bit less.
This is a contract position, so you can work the hours each day that work for you. Please know that most of the work would need to be completed during MST working hours.
Responsibilities:
- Manage patient scheduling, ensuring timely and accurate scheduling of appointments
- Answer patient inquiries and schedule initial appointments and intake paperwork completed
- Ensure HIPAA compliance
- Collaborate with clinicians and staff to optimize scheduling processes and improve systems
- Coordinate administrative tasks such as billing and tracking performance metrics
- Manage office space, utilities, and details
- Support CEO in email responses, personal schedule and daily tasks
- Perform other duties as assigned by the CEO
Requirements:
- At least 3 years of experience in office management, executive assistant and scheduling, preferably in a healthcare or mental health setting
- Strong organizational and communication skills, including ability to advocate for your needs and take feedback well
- Proficiency in Google Suite and comfortable learning new EHR/software
- Respect HIPAA regulations and patient privacy
- Ability to multitask and work effectively
- Proven ability to work collaboratively with staff, clinicians, and patients
- High level of dedication to quality patient care and service. WE are looking fro someone who has a high level of integrity related to their work.
