The appointee will be required to:
- handle tenders/quotation exercises to procure a wide range of goods and services for various user units;
- guide users to take necessary steps and liaise with them on preparation of purchase requisition, tender/ quotation specifications, evaluation, recommendation, etc.
- ensure the procurement process in compliance with the College’s regulations and procedures;
- serve as the Secretary of Tender Assessment Panel meetings and support tender board meetings;
- prepare price summaries, quotation reports, meeting minutes, tender board papers, PO, contracts, etc.;
- verify funding for the tender/quotation execution/award;
- perform supplier management including maintaining a master supplier list, supplier registration, updating supplier records, supplier performance review, etc.;
- handle common office supplies (e.g. stationery, name cards), replenishment and stock control, and prepare Payment Requisition Notes for common items;
- handle disposal of fixed assets and minor furniture and equipment;
- assist in development of a new ERP system, and enhancement of procurement system;
- provide procurement data and analysis for management consideration; and
- handle any ad hoc duties as assigned by supervisors.
Applicants should:
- possess a Bachelor’s degree with at least 3 years of relevant working experience in handling tender exercises preferably gained in the tertiary education sector or public organizations;
- have abilities to perform multi-tasks and work independently;
- possess good planning, problem-solving, interpersonal and communication skills;
- be well organized, detail minded, self-motivated with positive work attitude, and have good team spirit; and
- have good command of both written and spoken English and Chinese.
Salary will be competitive and commensurate with qualifications and experience.
